πŸ‘‹ Welcome to the Staff App
The Staff App is the tool for employees of Premium.Coffee network coffeehouses. Use it to award Coffee Points to visitors, process reward redemptions, and view customer history.
πŸ“Œ Important: You have a separate login and password to access the app. Do not share your credentials with anyone else.
πŸ“Œ First Steps
1
Use your personal login and password provided by the coffeehouse manager.
2
Understand the basic rule
1 scan = 1 Coffee Point. Each successful scan awards 1 point to the visitor. No need to enter amounts β€” just scan.
3
Only after a real purchase
Award points ONLY after a completed purchase. Do not scan without an order β€” this violates program rules.
πŸ“· 1. Awarding Points by Scanning main method
1
Open the application
Log in to the Staff App on the coffeehouse tablet or smartphone.
2
Select "Scan QR Code"
On the main screen, tap Scan QR Code.
3
Scan the visitor's QR code
Point the camera at the QR code from the visitor's phone. Make sure the code is well-lit and not damaged.
4
Confirm the award
The system will automatically award 1 Coffee Point to the visitor's card. A message will appear: "+1 Coffee Point awarded".
5
Tell the visitor
Say to the guest: "Point added!"
πŸ“Œ Important: Only award points after a real purchase. Do not scan codes without an order β€” this violates the program rules.
✏️ 2. Manual Entry backup method
1
When to use
β€’ QR code won't scan (dirty screen, damaged code, camera issues).
β€’ Visitor doesn't have their phone (forgot or battery died).
β€’ Visitor hasn't activated their card yet but wants to earn points.
2
Open "Manual Entry"
In the app, tap Manual Entry.
3
Enter the visitor's information
Ask the visitor for their email or user ID (printed under their QR code).
Enter this information in the appropriate field.
4
Confirm the award
Tap Award Points. The system will award 1 Coffee Point to the visitor's card.
πŸ“Œ Important: Always double-check the email or ID to ensure points go to the correct visitor.
🎁 3. Processing Redemptions reward exchange
1
Visitor wants to redeem points
Visitor says: "I want to redeem my points for a reward".
2
Open "Process Redemptions"
In the app, tap Process Redemptions.
3
Scan the QR code
Scan the visitor's QR code. The system will show: β€’ Current point balance.
β€’ Available rewards at your coffeehouse (coffee, dessert, or other local offers).
4
Select reward and confirm
Select the reward the visitor wants and tap Confirm. Points will be deducted automatically.
5
Hand over the reward
Give the visitor their chosen coffee, dessert, or other reward from your coffeehouse's menu.
6
Wish them a good day
Smile and say: "Enjoy your reward! Thank you for being with us!"
πŸ“Œ Important: Your coffeehouse sets its own loyalty rules and rewards. If a visitor asks about $COFFEE tokens or the Bitcoin giveaway, explain that these are handled automatically in their app β€” you don't need to hand out anything extra.
πŸ“œ 4. Viewing History
1
When needed
β€’ Visitor asks: "How many points do I have?"
β€’ Visitor says: "My points weren't added last time"
β€’ Need to check when the last activity occurred.
2
Open "Viewing History"
In the app, tap Viewing History.
3
Scan QR code or enter information
Scan the visitor's QR code, or enter their email or ID manually.
4
View the information
The system will show: β€’ Current point balance.
β€’ Dates and times of awards.
β€’ Reward redemption history.
πŸ“Œ Tip: If a visitor claims points weren't awarded, check the history together. If there's an error, notify your manager β€” only they can void or adjust transactions.
πŸ”’ 5. Redemption Codes no phone needed
1
When to use codes
β€’ Visitor doesn't have their phone or battery is dead.
β€’ QR code won't scan and manual entry isn't possible (visitor doesn't know email).
β€’ Phone orders or delivery.
2
Generate a code
In the app, tap Generate Code. The system will show a 4-digit code, for example: 0754
3
Give the code to the visitor
Tell the visitor the code. They can enter it later in the Enter Code section of their account. Points will be awarded after the code is entered.
πŸ“Œ Important: Codes have a limited validity period (usually a few days). Visitors should enter their code as soon as possible.
πŸ—ΊοΈ 6. Understanding the Visitor's Journey
β˜•
Step 1 β€” Earn Points
Visitor buys coffee β†’ shows QR code β†’ you scan β†’ 1 Coffee Point credited.
🎁
Step 2 β€” Choose Reward
Visitor can either redeem at your coffeehouse (coffee, dessert) or swap for $COFFEE tokens in the app. This choice happens on their side β€” you only handle local redemptions.
β‚Ώ
Step 3 β€” Win Bitcoin
Every scan automatically enters the visitor into the monthly Bitcoin giveaway. The more $COFFEE they hold, the higher their tier. Winners are announced on Telegram.
πŸ“Œ What you need to know: You are not responsible for the Bitcoin giveaway or $COFFEE swaps. If visitors ask, tell them to check the app or our FAQ.
⚠️ 7. Common Issues and Solutions
❓
"Not eligible"
Cause: Purchase amount below minimum, daily limit exceeded, or visitor's card expired.
Solution: Politely explain the reason to the visitor. Check program conditions with your manager.
❓
QR code won't scan
Cause: Dirty screen, glare, damaged code, poor lighting.
Solution: Ask the visitor to increase screen brightness, wipe the camera lens, try moving closer or farther. If it still doesn't work β€” use manual entry or a redemption code.
❓
Visitor says points weren't awarded
Solution: Check the visitor's history through Viewing History. If points are indeed missing, notify your manager. Only the manager can void or adjust transactions.
❓
"Card expired" error
Cause: The visitor's card has passed its expiration date.
Solution: The visitor cannot earn new points but may redeem remaining ones. Suggest adding a new card if the program is still active.
❓
Visitor asks about Bitcoin or $COFFEE
Solution: Explain that these are handled automatically in their app. For detailed questions, point them to the FAQ or the Telegram channel.
🚫 8. What You Don't Do
To keep the program fair and secure, staff members must NOT:
πŸ“Œ If in doubt β€” ask your manager. Better to clarify than to make a mistake.
